Position Overview:

We are seeking a dynamic and highly organized Event Coordinator to join our team in Hong Kong. In this role, the ideal candidate will take on the responsibility of planning, organizing, and executing a variety of events, ensuring seamless operations from start to finish. By working closely with clients, vendors, and internal teams, the Event Coordinator will play a key role in creating memorable and successful events, ranging from corporate meetings to large-scale conferences and social gatherings. Through effective communication and collaboration, the Event Coordinator will oversee every aspect of the event, ensuring that both the client’s needs and the operational requirements are met with precision and efficiency.

Key Responsibilities:

  • Plan and coordinate events from concept to completion, covering logistics, scheduling, and budgeting.
  • Collaborate with clients to understand their needs and objectives for the event.
  • Research and source venues, vendors, and suppliers, ensuring alignment with event requirements.
  • Manage event timelines and ensure milestones are met on schedule.
  • Coordinate with internal teams (marketing, operations, design) to align objectives and execute promotional activities.
  • Oversee event registration and guest list management, ensuring clear communication with participants.
  • Manage on-site setup, execution, and troubleshooting to ensure smooth operations.
  • Negotiate contracts with venues and suppliers, securing the best quality and cost-effective solutions.
  • Monitor budgets, provide cost analysis, and ensure expenses stay within the approved budget.
  • Provide on-site leadership to ensure all event aspects run smoothly.
  • Address client and attendee inquiries, resolving issues promptly and professionally.
  • Conduct post-event evaluations and gather feedback for future improvements.

Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
  • At least 2-3 years of experience in event coordination or a related role, preferably in Hong Kong or the Asia-Pacific region.
  • Strong organizational and time-management skills with the ability to manage multiple events simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with clients, vendors, and teams.
  • Proficient in Microsoft Office Suite, Google Suite, and event management software.
  • Experience with budgeting and managing event costs.
  • Strong problem-solving skills and the ability to work under pressure.
  • Fluency in English, Cantonese, and Mandarin is highly preferred.
